Spreadsheet trip planner

A trip planner for people who start with a spreadsheet.

WanderCrew is a trip planner built on the spreadsheet layout groups already use: days across the top, details down the side. On the web you can import an Excel file or paste cells from Google Sheets. The same trip then opens on your phone with a route map, a Today screen, and offline access.

Most group trips already start as a spreadsheet

Somebody opens a Google Sheet, puts dates across the top, and starts filling in flights, hotels, and hikes. It's a good way to plan. The grid is flexible, the costs add up, and everyone already knows how to use it.

The trouble is everything after planning. The link gets lost in the group chat, the grid is hard to read on a phone, and nobody can find tonight's check-in time from the passenger seat. WanderCrew keeps the spreadsheet part and fixes the rest, so the planner doesn't have to start over in a new app.

Bringing your sheet in

  1. Check the layout. Dates run across the first row, and row names like "Hotel" or "Activities" go down the first column. If your days run down the rows, flip the sheet first with Paste special, then Transpose.
  2. Import or paste on the web. Upload an Excel file, or copy cells straight from Google Sheets and paste them into the planner.
  3. Check how the rows map. WanderCrew matches common row names to its defaults, so "Lodging" becomes Hotel / stay. Rows it doesn't recognize become custom rows, and you can skip any row you don't need.
  4. Open it on your phone. The same trip is there with a route map, a Today screen, and a packing list, and it works offline.

Starting from scratch? Our free road trip itinerary template uses the same rows WanderCrew does.

What stays the same

  • Days across, details down. Wake location, transit, activities, hotel, sleep location, cost per person, and links, plus any rows you add.
  • Your own rows. Add rows for text, longer notes, money, links, or places.
  • A running total. Cost per person adds up across the trip.
  • Inserting a day. Add a day in the middle and every later date moves with it.
  • Pasting. Copy cells from Google Sheets and paste them into the grid.
  • A way back out. Export the trip to a spreadsheet whenever you want one.

What a spreadsheet can't do

On a phoneThe full grid, pinched and scrolledOne day at a time, and a Today screen during the trip
With no signalOnly if offline access was set up ahead of timeThe whole trip is saved on your phone
Packing listA tab of checkboxes, with no one's name on themShared gear with who's bringing it, plus a private list each

And it goes both ways. Export a trip back out to a spreadsheet any time, for your records or to keep working in a sheet, so the plan is never stuck in the app.

Quick answers

Questions about importing a trip spreadsheet

Can I import a Google Sheets itinerary?
Yes, two ways. Copy the cells in Google Sheets and paste them into WanderCrew's planner on the web, or download the sheet as an Excel file (File, Download, Microsoft Excel) and import it. Either way, dates should run across the first row with row names in the first column.
Does it work with Excel files?
Yes. WanderCrew's web planner imports XLSX files up to 2 MB with up to 60 date columns. You'll see how each row maps before anything is applied.
What if my spreadsheet uses different row names?
WanderCrew matches common names to its default rows, so "Hotel details" lands in Hotel / stay and "Price pp" in Cost (per person). Rows it doesn't recognize come in as your own custom rows, and you can skip any row you don't want.
What if my days run down the rows instead of across?
The importer expects dates across the top. In Google Sheets or Excel, copy the sheet and use Paste special, then Transpose, to flip rows and columns before importing.
Can I export my trip back to a spreadsheet?
Yes. A trip can go back out to a spreadsheet, so the plan is never stuck in the app, whether you want a copy for your records or to keep working in a sheet.
Is the spreadsheet on my phone too?
The same rows are, one day at a time, which is easier to edit on a small screen. The full grid with every day side by side is on the web. The web planner needs an account, which comes with the Crew plan or with an invite to someone's trip.
